Part Time

If you are thinking of taking Part Time, this is the process that you will need to follow:

  1. Prepare your proposal
  2. Get advice from people
  3. Make a decision
  4. Communicate your decision
  5. Some Tips

In case you want to take Part Time by Legal Custody or to Take Care of a Family Member (2nd Degree) (“Custodia Legal o Cuidado de otro familiar”), please talk to Liuba to have a better understanding of the process and the differences.

1. Prepare your proposal:

Please block some time in your calendar to prepare your part time proposal. Below you will find some guiding questions you could use. Feel free to create your own document with the questions and your responses.

  • Proposal: “As for the time being, I am working XX hours a week . I am submitting this proposal with the intent of proposing to start working XX hours per week (part-time)”. Please also add when would you like to statrt the part time schedule.
  • Purpose: Explain why you are making this proposal and why this is important for you. What are you hoping to get /improve/change with the part time schedule?
  • Transparency: Please reflect and share any potential challenges and impacts you foresee with your proposal (if any) in the team, project and/or Vizzuality. Being open and clear about this challenges and impacts in advance will help us all to be able to support each other in the best possible way and continue delivering great work.
  • Who do I need advice from?: Name the people you want advice from. To make this list, please consider the following: Who will be impacted with my part time schedule? Who’s role/responsbility might change with my proposal? Even if someone is not directly affected by my proposal, who should be made aware of it? The recommendation is that you include at least one Exec Team member in the advice process, a few people from your FA, and also the PM(s) that you are currently working with, along with any other peers you might want to involve.
  • Get support: Its recommended that you reach out to the People & Culture team to receive extra guidance and support with the process.

2. Get advice from people

Now that you have your proposal is time to talk to people and get their advice. To do so, you can do the following:

  • Invite the people you have identified above (Who do I need advice from?) to the process. Please share your part time proposal with them.
  • Give them a bit of time to review the document and add comments/feedback/questions/etc.
  • If useful, you can also schedule a session to discuss in more depth.

3. Make your decision

After getting advice from people, you will have enough information to make the decision:

  • If no one has shared any objection to your proposal, you can make your decision (ie. I will go forward with my decision of taling a part time schedule)
  • If relevant, you could also modify your original proposal as a response to what you learned during the advice process (ie. “I am not going to take 2 days off, but for the time being just 1” or “instead of taking 1 full day off, I think its best to take 2 afternoons”, etc.)

Please update your proposal document with your final decision before moving on to the next step

4. Communication.

The last step on the process is all about communicating back to the people who has been involved in the process providing advice, your FA and also your project team.

Please follow these steps:

  • Inform the people involved in the advice process, including the Exec Team member, that you have made a decision.
  • The Exec team member will inform the Operations/Finance team.
  • The Operations / Finance team will then update your details (ie. contract, systems, etc.) and will confirm back to you that this has been processed.
  • Your salary change will be effective on your next payslip.

5. Some Tips.

Please note that this process will take some time, as preparing the proposal, seeking advice, and making changes to your contracts are all necessary steps. Ideally, we will aim to have the process finalized in 15 days (but this could extend depending on your individual case)

It is important to note that your holiday balance may be affected by how you structure your working hours. We recommend reviewing the relevant laws in your country (UK-Spain-Portugal) to fully understand the impact. If you have any doubts regarding the laws in your country, or if you wish to gain a better understanding of how your holiday allowances may be impacted, talk to P&C.

Please be patient with yourself as you transition from your current contract to a part-time schedule. It may take some time to adjust.
